Welcoming Message

Welcome to the iGEM 2012 Asia Regional Jamboree ! The Jamboree will be full of exciting presentations, stimulating conversations, well-deserved awards, and most of all, a lot of fun. The following information will guide you through the whole Regional Jamboree event from what to expect at Friday night practice all the way to the Awards Ceremony on Sunday. Please read through this whole guide! It contains useful instructions and information that will ensure your Jamboree experience will go as smoothly as possible. And as a special note to team leaders, you will have some extra responsibilities so please make sure you are aware of what you are expected to do. Note: For all locations on the HKUST campus – Academic Concourse, Indoor Sports Complex and other event locations, consult the map in your registration packet.

iGEM Around HKUST

The entire iGEM Asia Regional Jamboree will be held at the Hong Kong University of Science and Technology’s Clear Water Bay main campus where most of the venues used for the activities are housed under one roof. The poster sessions will be held inside the Indoor Sports Complex (S.H.Ho Sports Hall) and presentations will be held in the Academic building in the lecture theaters according to their assigned track. Check your team bags for information of where you should set up your poster and pick up lunch.

Check-In and On-Site Registration

Teams can check-in on Friday afternoon (October 5th, 4-9pm) and on Saturday (October 6th, 8am onwards) for the Jamboree beginning at 9am on Saturday (October 6th). The registration counter is located inside the Indoor Sports Complex, LG1 lobby. At Registration, the Team leader will pick up your team bag containing team member badges, participation certificates, registration packets, lunch tickets, and other important and useful information. Note that each team leader will be responsible for picking up the team bag. This means that each member of the team DOES NOT have to stand in line at Registration. Important: in order to pick up your team bag, you will be required to turn in general release forms for each person that is registered for the Jamboree. The release forms are absolutely necessary. Registration personnel will check off each release form for each team member. Badge(s) pertaining to each person missing a release form will be held at Registration until the form has been turned in.

Badges

You will receive your name badge as part of your team bag , as long as you have submitted your general release form. Please wear your badge at all times during the Regional Jamboree and make sure it is clearly visible. Badges will be necessary for entrance into presentation rooms, for access to food, buffet dinner and for the iGEM social event . If you do not have a badge, you must register in order to obtain one.

General Release Forms

The iGEM 2012 Asia Regional Jamboree will be a multimedia event: in addition to the team presentation videos that will be uploaded online, we will also be uploading photos and videos from the entire event so others can get an idea of what iGEM and the Regional Jamboree is like. In order to comply with the law, all participants attending the Regional Jamboree must print, fill out, and bring a general release form with them to the Regional Jamboree. Note: Team leaders, you must have a filled-out general release form for each member of your team that is registered in the Jamboree before you can pick up your team member badges and team bag. There will also be blank copies available at registration for you to fill out if you need another copy. If you have any questions or need further clarification, feel free to ask an iGEM staff member. Team Leader

As mentioned above, team leaders have a few responsibilities. Each team leader (or a designated representative) will be responsible for gathering all team member general release forms and handing them in at registration counter in order to obtain your team bag. Team leaders are responsible for making sure individual team members receive the materials in the bag. On Sunday, in the Indoor Sports Complex (LG1 Lobby), team leaders will pick up their team medals and award certificates if any after the Awards ceremony.

Team Spirit

At the Regional Jamboree you will be representing your team, university, and country, so it is the time to show off! Designing team T-shirts is always a good idea, and here at iGEM Asia Regional Jamboree we encourage you to wear them. They also make for a particularly nice iGEM from Above photograph as well. Wear your school colors, your team's name, or give a nod to your team's sponsors. We also encourage you to find new ways to showcase your team spirit.

Friday Night Practice

Teams will be allowed to practise on Friday night (October 5th) at HKUST, beginning at 6:00pm. to 10.00pm. You can practise your presentation, and get to know fellow iGEM members. Please e-mail igemasia@ust.hk to reserve your time-slot for the Practice sessions.Please see Sign Up Practice Sessions for available time slots. There will also be rolls and drinks provided on a first come, first serve basis. Please note that we cannot match the practice room with the room that you will give your presentation in on Saturday. Note: there will NOT be technical staff on site to help with audio/visual equipment. Please leave all presentation rooms in the condition that you found them.

Opening Ceremony

The Opening Ceremony on Saturday October 6th, will officially kick off the iGEM 2012 Asia Regional Jamboree! The opening ceremony will be held inside the Indoor Sports Complex at 9:00am on October 6th, with breakfast starting at 8:00am in the Academic Concourse (outside LTA and B). Be sure to attend as we will also update you with any new changes to the Regional Jamboree and the events planned for the Regional Jamboree.

Leave a note for a team!

Trying to find someone at the Regional Jamboree? Want to leave some words of praise for your fellow iGEMers? Each theater has a message board so that you can leave a note for a team or one of their members. There is room for you to post a note right below their name. All teams should check the message boards throughout the Jamboree. There may be a funny, interesting, or important message waiting for you!

Food

Food will be provided throughout the Regional Jamboree. There will be meal counters in the Academic Concourse (outside LTA and B). Your team bag will contain lunch tickets, which will be used to pick up your lunch. Badges must be (visibly) worn in order to have access to all food. Teams will be assigned to meal counters in the Academic concourse outside LTA and LTB in order to spread out the crowd and cut down on the time you have to wait on line. We ask that you please pick up your lunch in your assigned counter, although you are free to eat it where you wish.

Posters!

Each team is required to present a poster at the Jamboree. The Poster Session is on Saturday starting at 5pm and all poster locations have been randomly assigned according to each track inside the Indoor Sports Complex. Please see your poster information sheet, in your team bag , for your team’s specific poster number and location. The poster must be no larger than 96cm (width) x 137cm (height). Each team may only put up ONE poster. The poster should be hung up on one of the poster stands that will be set up at your assigned location. Velcro tape will be provided at the poster stands and are to be affixed to the back of each poster. Please only use Velcro tape provided.DO NOT use tape or push pins! Teams may set up their posters beginning at 8am on Saturday, or during the first break. Please have your poster up as early as possible, because poster judges will be roaming throughout Saturday. Posters must be removed by Sunday 1.45pm. Any remaining posters will not be saved.

Presentations

HKUST offers a pleasant atmosphere for your presentations. There are a total of five presentation rooms located in the Academic Concourse next to each other. Each presentation room accommodates approximately 200-400 participants and is equipped with a projection screen and overhead projector, microphones and speakers. Presentations are held in Lecture Theaters C, D, E, F and H and will be separated by the track. Your team’s scheduled presentation time, slot, session, and room have all been randomly assigned within your track. Please see your team bag for information on when and where your team will be presenting. In each room, the presentations will be divided into sessions with each session comprised of three to four separate presentations. Each of the presentations given during a session will be of the same ‘track’. If you are attending the presentations, please stay for the whole session and only leave the room during the scheduled breaks. Each team has 20 minutes of presentation time, 5 minutes for questions and answers, and 5 minutes to switch with the next presenters. Please be sure to bring the necessary equipment for your presentation, such as your laptop, cables/adaptors, and power supply, as iGEM Asia Regional Jamboree will not provide these.

Documents collection

In an effort to capture all of the hard work that teams have put into their iGEM projects, we ask that each team give us a copy of your presentation and a copy of your poster. To submit your files follow the instructions below.
    • Save your presentation and poster as a high resolution pdf file.
    • Ten minutes before the start of each session, there will be an iGEM helper at the front of each presentation room.
    • Bring your laptop with the files on it to the front and the iGEM helper will transfer your presentation and poster to a USB key that they will have with them.
Please make sure to do this in the 10 minutes prior to the start of the session! (NOT prior to your presentation time)

Social Event- Mascot Fun Run

On Saturday night after the presentation sessions, we will be hosting the iGEM 2012 Asia Regional Jamboree Buffet dinner in the student canteen on LG7 floor and the Social Event in the Fok Yin Tung Sports Centre (outdoor sports stadium) from 8:45pm to 10:00pm. The Social event will be a Mascot Costume Fun Run . After a full day of presentations, the Asia Regional Jamboree Social Event will be a welcome change, so we highly encourage all iGEM participants to attend and remember to bring your mascot costumes! Relax and have fun!

Top 3 Finalist Presentations

The top three regional finalists will be announced in the Opening Remarks at 9:00am on Sunday in the Sports Hall. The finalists will then be asked to give their presentations to all judges and teams. All teams should be prepared to present in the Sports Hall, so be sure to bring the necessary materials such as your laptop, cables/adaptors, and power supply,with you.

iGEM Asia Regional Jamboree from Above

On Sunday, after lunch, we will be taking the iGEM 2012 Asia Regional Jamboree from Above group photo! The photo will be taken at the Sundial of Entrance Piazza and Atrium . Make sure to wear your iGEM team T-shirt!

Awards Ceremony

The Awards ceremony will be held on Sunday afternoon in the Indoor Sports Complex and The judges will then announce the medals, special prize winners, qualifications to the iGEM World Championships and the Asia Regional Jamboree winner in the afternoon. Then the 2012 iGEM Asia Jamboree will offically end.

Medals

This year we are designating achievements for documentation of your project and contributions to the synthetic biology community. These achievements are signified by a bronze, silver, or gold medal seal, which each team member can adhere to their participatory certificate. These designations will be based on their performance in the online judging round (online judging occurs in the week directly before the Jamboree). Check out the Judging page for the requirements for each medal level. Team Leaders can pick up their team medals (one for each member on the official roster) on Sunday afternoon after the awards ceremony in the Indoor Sports Complex LG1 lobby. It is intended that your medal seal be adhered to your participation certificate (for each team member).

Special Awards

In the Asia Regional Jamboree, there are ten special prizes awarded to honor specific innovative and unique contributions to iGEM.

Family and Friends

Family and friends are welcome to register for all iGEM Jamboree events. If non-iGEM team members (e.g. family, friends and guests) want to attend the opening ceremony, presentation sessions, poster sessions, social event on Saturday, and the Awards ceremony, they have to officially register and get a badge. Entrance to the Awards ceremony is not guaranteed, and is dependent on the capacity of the Sports Hall.

Luggage

If you need to check out of your hotel on Sunday morning, you are advised to contact the Information Desk. There is only limited space to store your luggage. Please do not leave any valuables, passports and tickets with us. These are your full responsibility. We do not take any responsibility for any lost or damaged items. It is absolutely critical that your luggage be picked up as soon as the Closing ceremony has ended.

Transportation: How to get around

Public transportation in Hong Kong is very efficient and getting to and from HKUST by taxi , the MTR metro, or bus is easy, as is accessible by car. The map shows you the main routes connecting Kowloon and Hong Kong Island to our campus. The main gate of the campus features a large and easily recognizable sign with the university's name written in both English and Chinese. Past the main gate, a gently sloping driveway leads to the Entrance Piazza with a large red sundial at its center. Shuttle buses will travel Regal Riverside hotels to HKUST on Oct 4-7, please refer to the Shuttle Bus Schedule for more information. No ticket is required. The iGEM Asia logo will be placed at the windshield of each 60-seat coach.

Internet, Phone and Computer

Internet access is available throughout the HKUST campus. Participants may check their e-mail by using Telnet at many Computer Express Stations located throughout the campus. Wireless internet service is also available. Participants who wish to use this service should have a laptop with a wireless card that is 802.11b or 802.11g compatible. A login password is required. Please check with the Registration Counter on site for login information. Local calls from public coin phones cost HK$1 per five minutes and stored-value phone cards (available at most of the convenient stores) allow you to make IDD calls on public phones. For mobile phone users, the GSM, PCS, CDMA and TDMA networks are available here, you may buy a SIM card at convenient stores or phone shops in Hong Kong.
